Pharmaceutical document managementThe right revision.

Keep approved documents, review responsibilities and source versions connected. Build a focused document-management workflow around your existing repositories and quality procedures.

Plan your project

From your workflow to a working system

  1. 1Create & reference
  2. 2Review & authorize
  3. 3Publish & retain

The right scope.
Built around your needs.

Start with the problem that matters. Combine the capabilities your project needs, with boundaries agreed before the build.

Version and status controls

Distinguish drafts, approved revisions and superseded documents with explicit ownership and transition rules.

Review responsibilities

Map who prepares, reviews and authorizes a document. Scope electronic signatures separately where applicable.

Access and distribution

Define who can see or change documents, and how people reach the current approved revision.

Retention and evidence

Agree on records, change history, retention and export needs according to the intended use.

The right revision, through every handoff.

A reference document lifecycle with controlled versions, review responsibility and access boundaries.

REFERENCE ARCHITECTUREChoose a layer to inspect its role.

Authoring: its responsibility

Create the agreed document record and retain its ownership and revision context.

What to review

Check naming rules, concurrent edits, attachment formats and required metadata.

The starting point

Reviewers circulate several versions of the same procedure.

The approach

Connect revision identifiers, comments and review stages to a controlled source.

What the work can produce

A scoped document lifecycle with visible pending actions and revision history.

Start where
your project is.

The first step depends on what is already known. These starting points help define an engagement; scope, price and timing are agreed separately.

Explore an uncertain idea

The problem is clear, but the approach is not.

  1. 1Question
  2. 2Prototype
  3. 3Decision

What you take forward

A bounded experiment, findings and a recommendation on what to validate next.

A prototype is not a production-ready service.

Deliver a defined scope

You know the workflow and can agree acceptance checks.

  1. 1Scope
  2. 2Build & review
  3. 3Handover

What you take forward

Agreed deliverables, verification evidence and operating instructions for the scoped release.

Changes to scope need an explicit decision on cost and timing.

Improve an existing system

A live system needs focused changes or ongoing care.

  1. 1Review
  2. 2Prioritize
  3. 3Release & observe

What you take forward

A prioritized backlog, reviewed changes and an agreed maintenance or support boundary.

Coverage, response targets and access are agreed per engagement.

How project pricing works

A clear path.
Through the work.

Scope and deliverables are agreed for each project. These stages guide the conversation.
  1. 1

    Map the document lifecycle

Identify types, owners, approval stages and repositories.

  2. 2

    Test permissions and revisions

Exercise superseded versions, rejected changes and unauthorized access.

  3. 3

    Define operational acceptance

Agree on validation evidence, retention and handover responsibilities.

Control the document lifecycle before the repository

Technology is a scoping decision. These are relevant tools and building blocks to discuss against your existing systems, operating constraints and maintenance needs.

Storage

Document recordsMetadataAttachments

Choose storage and supported formats around the customer’s access, retrieval and retention requirements.

Lifecycle

Version historyReviewApproval

Design review decisions against an identifiable document revision and explicit edit permissions.

Access

Role-based retrievalSupersession rules

Define how approved and obsolete revisions appear to different roles and connected systems.

What should be checked
before handover.

Turn quality expectations into reviewable evidence. The exact checks and responsibilities belong in the project scope.

  1. Revision integrity

Test concurrent edits, revision selection and whether a decision remains associated with the version reviewed.

  2. Controlled retrieval

Verify permissions, superseded versions and access after a user or document changes status.

  3. Retention and export

Check customer-defined retention, retrieval and export requirements against the intended-use evidence plan.

Before
we begin.

Practical answers to help turn your idea into a scope everyone understands.

Is this an off-the-shelf document management product?

No. This is custom development for a defined document workflow, assessed against your existing tools.

Will obsolete documents remain searchable?

The intended behavior must be defined explicitly. A common requirement is to distinguish superseded records from the current approved version rather than presenting them as equivalent.

Are electronic signatures included automatically?

No. Signature controls and applicable requirements need their own intended-use assessment.

Open code. Lasting value.

Built to be understood,
adapted and improved.

Everything we build is intended to be open source. Our business is the work around the code: custom development, managed hosting and servers, support and training.

Product repositories and licences will be shared as releases take shape. No specific licence has been selected yet.

Often better together.
